Are There Any Restrictions on How Many People We Can Invite to Events and Meetings at the School?

In line with the Government's roadmap out of lockdown, the basic position is that:

  • people should only be socialising indoors in groups of up to 6 (or two households) or in a group of any size from up to 30 people at any one time outdoors; and
  • venues that are currently permitted to open following COVID-19 secure guidelines will be able to continue to host more people in total, but no one should visit in groups greater than the current limits on social contact.

Schools should ensure its risk assessment is updated in line with the easing of restrictions, treating it as a living document. Schools should share any significant findings of the risk assessment with its staff and on its website.

Schools should, as a minimum, be able to explain to parents and carers the steps being taking to reduce the health and safety risks in your setting and outline the protective measures implemented. If parents and carers need to be aware of the protective measures put in place by the owner of the premises that you are operating out of, schools should outline these to them or direct them to the relevant website.

All meetings should take place with strict social distancing and other control measures in place.

Whilst restrictions are easing, the more people who interact with each other the more chance the virus has to spread. Therefore, schools should still consider whether any meeting or event should take place, or whether it would be more appropriate to take place remotely and/or to postpone the event to a later date.

Businesses and other public settings where people meet socially, including hospitality, close contact and leisure venues must record contact details of customers, visitors and staff on their premises to tackle the spread of coronavirus. Details must be stored for 21 days and shared with NHS Test and Trace, if requested. Fixed penalties will apply to organisations that do not comply. It would therefore be prudent to check whether any of the wider operations of the school would fall within the regulations.

Schools should also check with their insurers or local authority before a large gathering takes place as they may have additional stipulations or conditions.
